Request Summary: “Please provide, for each fiscal year 2022/2023 and 2023/2024, in Excel spreadsheet format, the following information, 1. number of complaints deemed not admissible under sec. 31 of the Act (timeframe for submitting a complaint) 2. number of complaints registered under the category “deemed refusal” (allegation that institution failed to respond within 30 days) 3. number of complaints registered under the category “deemed refusal” with outcome “cease to investigate” 4. number of complaints registered under the category “deemed refusal” with outcome “cease to investigate” in which the basis for ceasing to investigate was that the institution had already responded to the request 5. each of the following statistics for the collection of complaints corresponding to item 4 above: a. mean duration in days from date request was received by institution to date institution responded to request b. mean duration in days from date complaint was received by OIC to date institution responded to request c. median duration in days from date request was received by institution to date institution responded to request d. median duration in days from date complaint was received by OIC to date institution responded to request e. for each stage of investigation process, number of complaints at that stage upon ceasing to investigate the complaint General clarification: Please specify whether durations are reported in business days or calendar days. Either method of calculating duration is acceptable, so please use whichever is most convenient, as long as it’s consistent throughout the spreadsheet and there’s a clear indication of which one is being used. Clarification of item 5e: I’m assuming that OIC tracks the processing of a complaint through a series of stages, such as “complaint received”, “investigator assigned”, etc., but I don’t know precisely which stages a complaint can go through. Supposing a complaint can go through stages A, B, C, or D, what I’m looking for is a count of how many complaints were in stage A at the time OIC ceased to investigate, how many were in stage B, etc., with each stage as a separate spreadsheet row. If my assumption about OIC’s tracking of the status of complaints is incorrect or there’s any other uncertainty about how to prepare the data for this item, please contact me for clarification. I've attached a blank spreadsheet indicating the requested format of the data, for convenience.”
